1. Introduction

At Alps Royal Innsbruck, we understand that travel plans can change unexpectedly due to weather, flight adjustments, or personal circumstances. Our cancellation policy is designed to be fair and transparent to our valued clients while also protecting our operational schedules and the commitment of our chauffeurs.

By booking a transfer with us, you agree to the terms outlined in this policy.

2. Standard Cancellation Terms

Our cancellation policy is based on the timeframe between your cancellation request and the scheduled pickup time.

2.1. Free Cancellation (More than 24 Hours Notice)

  • If you cancel your booking more than 24 hours before your scheduled pickup time, you are entitled to a full refund.
  • No cancellation fees will apply.

2.2. Late Cancellation (Less than 24 Hours Notice)

  • If you cancel your booking less than 24 hours before your scheduled pickup time, a 100% cancellation fee applies.
  • No refund will be issued for late cancellations. This is necessary as we have reserved a vehicle and chauffeur exclusively for you, preventing us from accepting other bookings.

3. How to Cancel or Amend a Booking

To cancel or make significant changes to your booking, you must notify us officially.

  • Preferred Method: Please send an email to info@alpsroyal.com stating your booking reference number and your request. The time we receive the email determines the cancellation timeframe.
  • Urgent Changes: For urgent changes within 24 hours of pickup, please call our 24/7 line at +43 664 1556660 in addition to sending an email.

Amendments: Minor changes (e.g., slight adjustment to pickup time due to flight delays, changing the number of passengers within vehicle capacity) are usually handled free of charge if communicated in advance. However, significant changes (e.g., changing the date or destination) made less than 24 hours before pickup may be treated as a cancellation and a new booking, subject to the fees in Section 2.2.

4. “No-Show” Policy

A “No-Show” occurs when the passenger fails to arrive at the designated pickup location at the scheduled time and does not contact Alps Royal Innsbruck.

  • Airport Pickups: Our chauffeurs will wait for 60 minutes after the actual flight landing time free of charge. If you have not made contact within this period, it will be considered a No-Show.
  • Non-Airport Pickups (Hotels, etc.): Our chauffeurs will wait for 15 minutes past the scheduled pickup time.

In the event of a No-Show, the full cost of the booked service (100%) will be charged, and no refund will be given.

5. Cancellations by Alps Royal Innsbruck

In rare circumstances, Alps Royal Innsbruck may need to cancel a booking due to unforeseen emergencies or “Force Majeure” events outside our control (e.g., extreme road closures due to avalanches, severe weather rendering travel unsafe, unexpected mechanical failure).

In such cases:

  • We will notify you as soon as possible.
  • We will issue a full and immediate refund of any payments made.
  • We will do our utmost to assist you in finding alternative arrangements, though we cannot be held liable for any additional costs incurred.

6. Refund Process

Refunds for eligible cancellations will be processed back to the original method of payment (e.g., the credit card used for booking).

Please allow approximately 5–10 business days for the refund to appear on your statement, depending on your bank or credit card provider’s processing times.
